Information for Vendors

The 2026 DFW Ham Expo will move to Lewisville’s NTX Arena at Vista Mall (the former JCPenney store) for this year’s event. All Ham Expo Vendor Tables are in a large 25,000 sq. ft. indoor space – twice as big as last year! – and we have space for up to 200 tables, some with access to AC power.

LOCATION DETAILS:

The Lewisville Vista Mall is centrally located in the DFW area and right off I-35E – 20 miles north of downtown Dallas, 35 miles NE of downtown Fort Worth, and 15 miles SE of Denton.

The Indoor Exhibitor Area is in the NTX Arena (the former JCPenney store) attached to the Vista Mall (previously known as Music City Mall or Vista Ridge Mall) in Lewisville, Texas. The NTX Arena is a new very large two-level event space that is designed to host events similar to the DFW Ham Expo.

There is a large designated outside area for the Saturday AM tailgate adjacent to plenty of free parking for the inside event.

VENDOR EXHIBIT DETAILS:

For 2026, over 200 Vendor Exhibit Tables are available in the following categories:

  • Commercial Exhibit Space – Standard convention pipe and drape 10’x10′ spaces are available with up to 3 tables and AC power. These spaces are on the perimeter walls with prominent visibility and traffic. Commercial Exhibit Spaces are $125 per 10’x10′, can be grouped together, and come with up to 3 General Admission Vendor Badges.
  • Commercial Dealer Table – These tables will receive prominent placement in the table layout and will have a rear wall or curtain that can be used for temporary signage and limited merchandise display. Commercial Dealers must have an established ham radio or electronics-related business with a public presence (website or storefront). Custom table layouts are possible upon request. Commercial Dealer spaces start at $50/table and come with one General Admission Vendor Badge per table.
  • Exhibit Table (Premium) – These 6′ tables will be at the end cap or end of a row for better visibility. Premium Exhibit Tables are $35 per table. Indoor Vendor Table Purchases will receive one General Admission Vendor Badge and one Prize Ticket per table purchased. Each Table purchased comes with a single chair unless otherwise arranged in advance.
  • Exhibit Table – The bulk of our tables. These 6′ tables will be in mid-row and can be purchased in multiples. Tables come with a single chair and no rear wall. Standard Exhibit Tables are $25 per table. Indoor Vendor Table Purchases will receive one General Admission Vendor Badge and one Prize Ticket per table purchased. Each Table purchased comes with a single chair unless otherwise arranged in advance.
  • Organization – Local ham radio organizations and clubs can request a single table for promotion purposes (no selling) on a space-available basis.

TABLE ASSIGNMENTS:

Table assignments will be made by DFW Ham Expo Committee and are final. If you have special requests, please document them at the time of purchase and we will confirm with you. No table swapping or rearrangement is permitted after event setup has begun. Table assignments for premium tables will be prioritized due to room physical layout.

If you have a special request for table assignments, please note it on your order form (under special requests). We will confirm your request with you via email prior to final table assignments. We will attempt but cannot guarantee to accommodate special requests.

If you purchase a vendor table (table purchase is for both days) but do not plan to attend on Friday, please indicate that in your purchase. We reserve the right to resell unclaimed tables after 1pm on Friday unless we know in advance.

VENDOR SETUP AND TEARDOWN:

Setup is available Friday, June 6 between the hours of 9:00am-1:00pm local time (GA doors open at 1pm Friday). Loading and setup is via the double front entrance doors – there is no loading dock/ramp. The event space is directly accessible to the parking lot and is easily accessible with no stairs. A limited number of transport carts are available on a priority basis (Commercial Vendors have highest priority for carts). Load-in and Load-out assistance may be available by prior arrangement.

The exhibit area will be locked/secured between 6pm Friday and 8am Saturday. Vendors will be re-admitted on Saturday at 7:30am (with Vendor Badge). We request that all vendors be in place for the GA doors opening at 8:00am. We cannot be responsible to provide security for unmanned tables after 8:00am

Doors will open to ticket holders at 1PM (13:00) and close on Friday at 6PM (18:00). The doors will reopen on Saturday to ticket holders at 8AM (08:00) and close to all at 3PM (15:00). 

Teardown can begin Saturday after 15:00 local time and final prize drawings. We ask that vendors not tear down early as this is a detractor to late attendees. ***Special arrangements may be possible to commercial vendors on a case by case basis. This will require advanced communication so that we may work with the facility. There are no guarantees.

VENDOR BADGING

Upon check-in, Vendors will receive a DFW Ham Expo Vendor lanyard and badge. This badge will serve as your admission ticket and access to the vendor area during setup. You will receive one badge and one prize ticket per table purchased. If you need additional people, please purchase a regular admission ticket (in advance or at the door). Commercial Dealers will receive Vendor lanyards for all pre-arranged personnel.

POWER AND INTERNET

Some Commercial and Non-commercial spaces/tables have access to AC power. If you pre-arranged to have a space with AC power, we will do our best to accommodate your request. All AC power circuits are shared and there are no provisions for high-current circuits. Your power may be provided via extension cord (no more than 50′). You should plan on a single outlet – please bring any power strips that you will need. We do not assure that facility power is fit for your purpose.

The NTX arena provides good quality open wi-fi access that you may use while exhibiting. It should be suitable for any Point-of-Sale systems that you might need. No hard-wired internet connection is available.

VENDOR SALES TAX REPORTING

All Commercial and Non-commercial vendors should assess whether they are required to collect and report Texas State Sales Tax. Vendors are responsible for the proper reporting and submission to the Texas Comptroller’s Office, based on sales volume and location. We cannot assist you in this matter. VENDOR AGREEMENT:

By purchasing an Exhibit Table, all vendors agree to the following:

This is an Amateur Radio Expo Event (Hamfest). All exhibits are expected to be related to Amateur Radio and/or related technology.

As a exhibit table purchaser, you agree to the following terms: 

1) Table assignments within event is strictly up to the committee to determine. 

2) If you need AC power, please purchase a Table with AC Power Provisions and come prepared with whatever extension cords and power strips that you require. You may also use a commercial (UL listed) portable power pack (AC and/or DC). No internal combustion engine generators are allowed.

3) We strongly encourage you plan on bringing your own Cellular Hotspot (the NTX Arena does have limited public Wi-Fi). 

4) All sales must be Amateur Radio related. The sale of novels, graphic novels, books, electronics, etc must have a direct relation to Amateur Radio. No soliciting donations for other charities or non-profits will be allowed. Any vendor that chooses to not adhere to the rules above will be asked to leave and table or tailgate purchase will be forfeited. No exceptions! Your acknowledgement to these rules is recorded by your purchase. 

OUTDOOR TAILGATE

Outdoor Tailgate Spaces will be handled by our sister club, the Lewisville Amateur Radio Association (LARA). 100% of all tailgate space sales will be collected by LARA the morning of the event (no pre-sales for tailgate). Tailgate spaces are $10 each, exact change preferred.
